Job Summary/Basic Function:

To perform a wide variety of clerical support functions; apply detailed program knowledge in developing and/or maintaining program records systems and/or in collecting information, preparing reports and providing liaison between management, other organizational units, and external customers; perform related work.

Endowed by the Bernard Osher Foundation, the Osher Lifelong Learning Institute is a membership-based lifelong learning program offering a wide variety of college level, non-credit courses and lectures designed for intellectually curious adults age 50 and beyond. The Institute is one of 125 Osher Institutes nationwide, but the only one in Idaho. With more than 1500 members, the Institute meets educational needs of those nearing or in retirement, providing not only educational exploration but social connections with other members

Level Scope:

Applies basic skills while developing some specialized skills in procedures, operations, techniques, tools, materials, and/or equipment appropriate to area of specialization; performs routine and/or repetitive tasks; limited decision making required; generally works under close supervision; has no or limited experience; work is performed from within specific limits of established procedures and/or defined instructions.

Essential Functions:

Compose letters, correspondence, and memos requiring independent judgment as to content; compile and analyze information from a variety of sources to prepare reports.

Utilize word processing equipment and/or computers to create, process, and maintain a variety of documents and administrative records containing technical information and difficult formats.

Act as a liaison between their organizational unit and external customers.

Schedule and coordinate arrangements for meetings and conferences.

Support of financial record keeping including monitoring budgets, preparing financial transactions, and monthly reconciliations.

May be asked to supervise student support staff or have leadwork responsibilities.

Assist with creation of membership materials and supporting events for membership.

Assist in creating and managing hybrid, livestream and in-person program delivery including Zoom webinars and meetings; onboarding of speakers; hosting online programs with moderation of welcome, Q&A, prompts; assisting speakers with equipment and technology as requested. Some classroom management may be required during the program.

Prepare, send and review instructor evaluations after each presentation. Compile results for the Director/Assistant Director to share with speakers

Review, edit and archive video programs using Panopto; provide links to current and archived programs.

Serve as liaison with the Special Interest Groups (SIGs) with rosters, scheduling and assisting in the annual SIG Facilitators meeting.

Ensure that the classroom and equipment are maintained and prepared for program delivery.

Provide exceptional customer service, skillfully handle sensitive situations, and problem-solve to ensure member satisfaction. Be available to and actively interact with members on a daily basis. May be asked to assist in special events after hours or on weekends on occasion.

Assist in creating livestream meetings and webinars, management of video editing, moderate some livestream programs, and organize and compile evaluations of programs and presenters.

May perform other duties as assigned.

Knowledge, Skills, Abilities:

Ability to make decisions for routine administrative and clerical activities
