Citigroup Assistant Vice President, Business Execution Associate in Chiyoda, Japan

In this role, the Business Execution staff member helps to establish and continuously enhance a “One Citi” risk and control program across the business platform in Japan, partnering closely with businesses as well as control functions. They will also provide support on various initiatives for which coordination “in the middle” is required, including initiatives to simplify and strengthen Citi’s organization in Japan to support enhanced controls and business growth.

Responsibilities:

The Business Execution staff member will work with colleagues in the following key areas:

  1. Support the Head of Business Execution and partner with the in-business risk and control managers in Japan regarding operational risk and compliance risk management, including maintaining oversight over existing and emerging key risks, issues, control weaknesses, control processes, corrective actions, control validations and control enhancement initiatives for all business units in Japan – front-to-back.

  2. Support the chair of the Japan Business Risk and Control Committee (BRCC) to help ensure that it is appropriately robust and functioning effectively, including planning agendas, preparation of materials, drafting of minutes, tracking follow-up items, and other logistics.

  3. Help ensure that the Manager’s Control Assessment (MCA) process is appropriately robust and functioning effectively for the businesses and functions in Japan, including (i) participation in MCA reviews by businesses, (ii) facilitation of the Annual Risk Assessment process, and (iii) communication and implementation of MCA program updates and data quality reviews. Also help align Key Operational Risks (KORs) and Key Indicators (KIs), and consolidate related monitoring results.

  4. Support management of other risk frameworks (e.g., Model Risk), including procedures, key indicators, periodic assessments, etc.

  5. Support for corporate governance committees, including the compilation of meeting materials and minutes.

  6. Ad hoc analyses or projects related to risk & control, governance, issue management, and/or execution of business initiatives.

Specific tasks may include (based on experience and skill set, task allocation, etc.):

Risk Control Self-Assessment Processes

  • Maintain Manager’s Control Assessment (MCA) checklist

  • Coordinate changes in assessment unit structure with businesses/function owners

  • Support preparation of Annual Risk Assessment (ARA) (including process, review and challenge)

  • Support quarterly risk assessment (including process, review and challenge)

  • Participate in review sessions with businesses and functions

  • Ensure issues and operational risk events are properly recorded and mapped in risk control system

  • Monitor and implement changes to MCA program

  • Review data quality and follow up on remediation as needed

Business Risk and Control Committee (BRCC)

  • Support secretariat role for the committee

  • Update BRCC checklist and ensure compliance with global standard, as well as local charter and procedures

  • Review and update charter (at least annually)

  • Coordinate meeting agenda with key stakeholders, including known operational risks and events

  • Coordinate collection and production of meeting materials (including design, review and challenge)

  • Prepare issue management analysis and follow-ups

  • Prepare meeting summaries for reporting to other governance forums

  • Help prepare meeting minutes

  • Track follow-up items from meetings requiring further action

Other

  • Monitor and validate reported risk and control metrics, ensure consistency, and follow up as needed to meet target thresholds

  • Maintain operational risk key indicators in tracking tool and ensure ongoing reporting, review of thresholds, escalation of breaches, etc.

  • Review relevant global policies and help implement changes to local procedures as needed

  • Maintain in-business operational risk management and escalation procedures

  • Review operational risk event reporting (e.g., incidents, losses, etc.) and follow up as needed

  • Support assessments, audits, and other follow-ups

  • Participate in business risk & control meetings

  • Review and contribute to content of regulatory reviews, resolution plans, control updates for business presentations, etc. (as needed)

  • Support reputation risk, strategic risk, and model risk management frameworks, in addition to operational and compliance risk

Qualifications:

  • 3-5 years of relevant experience preferred

  • Bilingual (native Japanese preferred)

  • Advanced Excel skills for analysis of data, including creation of pivot tables, filtering, lookup functions, etc.

  • Experience with databases and information management

  • Consistently demonstrates clear and concise written and verbal communication skills

  • Professional with good judgment and background in the financial services industry, prior risk management or other control function experience

  • Ability to coordinate controls across the products and functions irrespective of reporting lines

  • Ability to earn the trust and confidence of, and to work closely with, key stakeholders and partners – both within and outside Japan

  • Excellent analytical and problem solving skills

  • Decisive & results-oriented

  • Familiarity with risk and controls (operational risk, compliance risk or other risk management experience and familiarity with related assessment frameworks)

  • ​English – Business level (Reading, Writing, taking meeting minutes, negotiation)

Education:

  • Bachelor’s Degree/University degree or equivalent experience
