Beacon Hill Staffing Group Assistant Property Manager in New York, New York

Real Estate Investment Trust (REIT) client located in Union Square, Manhattan is seeking to hire a Temp to Perm Assistant Property Manager for one of their buildings. This position will start ASAP, require 5 days in office. Hours are 8:30am - 5:30pm with availability for OT as needed.

Responsibilities:

  • Act as the primary day to day contact for tenants.
  • Cultivate and maintain cordial, service-oriented relationships with tenants and is visible and accessible to them.
  • Provide primary oversight of full-service tenant experience.
  • Manage property amenities and the delivery of related services to tenants.
  • Develop cordial and appropriately familiar relations with tenants and guests through consistent personal interaction.
  • Provide general assistance and information to tenants and guests.
  • Manage tenant and guest communications during building emergencies or preparedness drills.
  • Build and maintain strong tenant relationships with a focus on day-to-day contacts as well as associated vendors (janitorial, landscaping, etc.).
  • Assist in providing the administration of all activities related to the physical operation of the property, including but not limited to engineering, cleaning, repairs, remodeling, capital and tenant improvement projects, security, elevator maintenance, waste management, utilities, pest control, and landscaping. Collaborate and perform all duties as directed with the property management team to ensure that tenant experience goals are achieved.
  • Coordinate and oversee tenant appreciation/property events from start to finish in ensuring all logistical and operational functions are in place.
  • Support the property leasing effort in conjunction with the leasing team, facilitating and conducting tours and other events as required.
  • Manage building work order system and ensure all tenant requests are being dispatched, resolved, closed, and billed back if applicable.
  • Schedule and oversee amenity/conference center use, including managing the food and beverage.
  • Work with the Sr. Property Manager and Financial Property Manager on common-area maintenance (CAM) reconciliations, monthly reports, annual budgets and account payable functions.
  • Verify and file Tenant and Vendor Certificates of Insurance are current, meet all requirements.
  • Provide telephone coverage and incoming call direction for the property management team and front desk, as needed
Qualifications:
  • 2+ years administrative experience in a real estate company/guest services role; minimum of two years of progressive experience in hotel or property/facility operations experience, including personnel management, contracting and management of building services, building security, conference center management, departmental budgeting and expense management
  • Degree required
  • Ability to multi-task and prioritize in a fast-paced environment
  • Strong MS Office experience
  • Must have excellent verbal and written communication skills.
Compensation:
  • $90-110K perm base plus bonus depending on experience; temp rate in line.
  • Medical, Dental, Vision, 401K match, 0-4 years 21 days PTO; 5 years - 27 days PTO; 10 years - 31 days PTO; 15 years - 35 days PTO. $50 fitness reimbursement
